RICHARD C. RUDOLPH EAST ASIAN LIBRARY ANNUAL REPORT 2002/2003 A. Significant Achievements, 2002/2003: In spite of the loss of two librarians, the staff of the East Asian Library went through many changes together and accomplished a great deal. Most of the goals set for the year were achieved. Collection Development/Acquisitions  Obtained a few grants to augment the allocated regular material budget.  Friends of the Library Fund ($5,560) for acquisition of a collection of resources on Chinese inscriptions.  Partial funding from the North American Coordinating Council on Japanese Library Resources (NCC) Multi-volume Set Program (ca. $7,030) for acquisition of two Japanese publications.  Freeman Grant Fund ($60,000) for acquisition and processing of Chinese, Japanese, and Korean materials in support of the undergraduate initiatives.  Korea Foundation Grant ($20,000) in support of the UCLA Library’s participation as a member of the “Korean Collections Consortium in North America.”  Title VI Grant from the Department of Education ($20,000) in support of EAL’s collection development.  Received additional 400 volumes of books from Mr. Bing Liu of Evergreen Books, which were valued at over $11,000, after we had consumed the gift credits of $25,000 and 500 volumes of books that he pledged in 1999-2001 to EAL to select Chinese books from his bookstore or from the book exhibits he sponsored.  Critically reviewed serial subscriptions and cancelled 100 Chinese and 3 Japanese titles that would result in saving of ca. $4,000 a year.  Conducted a three-month survey on usage of Korean Studies online databases and applied the survey results on collection development of Korean electronic resources. Cataloging  Undertook a post-Pinyin conversion cleanup project of ORION2 bibliographic records: Ca. 45,000 records were reviewed and manually converted.  Cleared and imported a backlog of Chinese authority records into ORION2, which had been withheld for two years to avoid further confusion to library users between outdated authority records in Wade-Giles and those updated into Pinyin. Thus a total of 1,560 authority records for Chinese, Japanese, and Korean were imported during the fiscal year, which represented a 248% increase from the previous year. 1  Began a project of minimal-level cataloging of the unique 1982 Chinese Census Collection (ca. 1,900 titles), which was acquired in 1997: 1,480 titles were cataloged.  Continued to participated in CONSER program for serials cataloging since March 2002  Began to systematically cleanup ORION2 bibliographic and holding records in preparation for migration to a new integrating system  Reviewed cataloging workflow in searching to find ways to reduce the ratio of more costly scan search: After modifying some search procedures, the ratio of scan search dropped dramatically, from 32% average in July-Sept. 2002 to 5% average in Oct. 2002-June 2003. Public Services  Maintained good services while operating with 40 percent fewer librarian FTE  Supported faculty’s teaching by offering BI sessions on ORION2, Melvyl and OCLC, as well as demonstration sessions on important electronic resources  Maintained online circulation of monographs successfully  Trained circulation students to assist with the bar-coding project, which was assigned to the cataloging staff initially in October 2002  Followed up the billing project for overdue materials: As a result, the Library has seen an increase of returned books and renewal activities  Implemented real-time online reference statistics since Nov. 2002 B. Goals for 2003/2004:  Seek new funding/gifts to augment the allocated regular material budget  Pursue consortium/joint purchase of Korean online databases among UC campuses to get better price for digital resources  Review Chinese yearbook collection and select candidates for cancellation  Complete the post-Pinyin conversion cleanup project: 345 records returned from OCLC in June 2003 will be reviewed and manually converted. Also contribute in converting 118 Chinese records into Pinyin on OCLC-CJK, which were originally input by UCLA  Complete the project of minimal-level cataloging of the unique 1982 Chinese Census Collection (ca. 1,900 titles): ca. 400 titles to complete  Continue to cleanup ORION2 bibliographic and holding records in preparation for migration to a new integrating system  Ensure a successful transfer of circulation functions to the YRL Access Services  Rearrange the oversized collection to utilize limited space more effectively and make room for new additions.  Complete bar-coding of materials in B, D, and P section  Move the Q-Z section to the Harvard-Yenching (HY) stack areas after creating enough space through deselecting and transferring of materials in HY collection to SRLF  Redesign the EAL homepage according to the centralized library-wide standards. 2
