Q2. It was getting to the end of Jack’s appraisal interview, and he was pleased with it so far. His immediate superior, Kathryn, had been complimentary about his year’s work. ‘Now for what I see as a problem area’ said Fiona. ‘Time management – not yours, Jack, but Alison McBea’s’. Alison was one of the supervisors in the department of which Jack was manager Kathryn continued, ‘Over the past three months I’ve noticed that: a) Alison always seems to have a mound of paper in her in-tray b) Despite this, she spends most of her time on the phone or typing away on her computer. c) She submitted a report to me the other day – 14 pages of well researched work, very well presented. It must have taken her the most of two days to produce the report – but it concerned only a minor part of her job, and I’d emphasised to her when briefing her, that I only wanted a half-page opinion. d) She’s submitted annual appraisal reports on two of her staff which have been over a week late. e) I’ve checked her holiday records – she’s not taken a major holiday for 12 months, and did you notice that last week she struggled in every day despite being obviously ill?’
‘ I know’ said Jack, ‘I’ve already spoken to her about this. I confirm everything you say> I told her to sort herself out but she made no effort. She says she has no way of knowing how much work will hit her desk on any one day. Do you think I should reprimand her/’ ‘Jack, is it you or Alison who is at fault?’ said Kathryn. ‘You selected her and we both agreed she was the right person for the job. Have you identified what’s wrong with her time management? Have you given her guidance or support?’ ‘No’, said Jack Required (a) Explain what aspects of poor time management each of Alison’s symptoms suggests. (15 marks) (b) What suggestions could Jack make to Alison to help her overcome her time management difficulties? (15 marks) Total 30 marks
