A technical communication task that proposes upgrading a company's WAN links to Metro Ethernet. It includes an internal communication artifact, a fact sheet artifact, writing process analysis for each artifact, and audience analysis for each artifact. the benefits of Metro Ethernet, the process used to create the artifacts, and the audience for each artifact. The primary audience for the internal communication artifact is the Vice President of Information Technology, while the fact sheet artifact is intended for personnel from the IT department, department heads, and branch managers.

To: Dave Fernandez, Vice President of Information Technology From: Patrice N Edinboro, Senior Network Engineer, Information Technology Services Subject: Proposal to Upgrade WAN Connectivity to Metro Ethernet Date: Dec 18, 2020 Metro Ethernet provides the solution for security, reliability, flexibility, scalability, cost-effectiveness, consistency and predictable performance that are essential for all network WAN connections within the organization. Metro Ethernet is a modern networking technology that will allow the company to expand its networks across the metropolitan and to nationally disperse locations with little or no compromises to network design and operations. This solution offers security through the segregation of the company network traffic within the service provider network and does not hinder the use of existing network encryption solutions. When deploying Metro Ethernet, reliability is guaranteed with SLA (Service Level Agree). The networks will have the flexibility and scalability to deliver the various type of services (data, VOIP, Video, etc.) and connections using different topologies (point to point, point to multipoint, etc.) to both internal departments and external vendor/partners. It provides cost benefits because it uses ethernet ports to connect to the Service Provider Network (ISP). So, no specialized equipment is needed, and the ISP network is a shared resource that provides cost-saving benefits vs dedicated resources. Consistent and predictable performance can be achieved on the WAN with QoS (Quality of Service) and predefined performance metrics enforced through SLA with the ISP. As indicated in your opening address at our recently held all-hands meeting. The company is rapidly growing and expanding into new markets across the country. This growth has led to the establishment of many new branch offices that requires access to corporate network services to fulfill their functions. The need for corporate network services to be consistent across the organization and adheres to company standards and policies was also emphasized. Metro Ethernet offers a modern robust solution that can satisfy these requirements. The cost is about $24,000.00 to purchase 20 circuits with 1gig of bandwidth per month. Metro Ethernet is easy to implement and deploy; it requires no new staff or training and is widely available. There are other solutions available such as IP VPN, Lease Lines and Dark Fiber, etc. But Metro Ethernet provides a compelling justification for cost, required training and knowledge to implement and operate, security, scalability, availably and reliability when compared to other WAN solutions.
Metro Ethernet Metro Ethernet is a WAN (Wide Area Network) Technology that allows network connectivity between Branch offices, Data Center(s) and Partners/Vendors with the Main office and each other. Standard Base Technology Metro Ethernet Forum (MEF) creates standards and certifies its members' equipment for support of Metro Ethernet. The members of MEF consist of Network equipment manufacturers (Cisco, Juniper, RAD, etc.), Carrier/ISP (ATT, Charter Communications, etc.) and other businesses who have an interest in the development of the technology standards created and certified by MEF. This results in high compatibility and interoperability among MEF members' equipment and services. Simple Deployment Metro Ethernet makes extending the corporate network as easy as it is to add a new switch or router within a local area network (LAN). This is because Metro ethernet is based on the same technology as ethernet. Therefore, the same design considerations (vlan and Ip addressing) and implementation (configuration) for LAN deployments are applicable. Benefits of Metro Ethernet The centralization of Network services such as Voice, DNS, Active Directory, DHCP, Storage, Security and Network Operations. Support for all current security/encryption protocols and standards. Inherent cost saving from centralizing and consolidating network services. Voice, Video and other latency-sensitive data services that cross the WAN will benefit from QoS (Quality of service) on the Metro Ether links. Network connectivity between the organization's various locations and partners will be more reliable. Deploying new sites or scaling up existing branches is simple because Metro Ethernet is widely available and flexible with many options for connectivity (layer 2, layer 3, point to point, point to multipoint, etc.) Implementation Steps. The process to install Metro Ethernet at an existing branch or to add a new branch is as follow below: Figure 1: Metro Ethernet connected Network Figure 2: MEF Logo .(2017). An email notification will be sent to all affected employees at each branch one week before that location's Metro Ethernet upgrade. A reminder email will be sent 24hrs before the upgrade is implemented. Also, the service desk will be the first point of escalations for issues after the upgrade of WAN link to Metro Ethernet. Memo Audience: The Memo is addressed to Vice President Information Technology. This position is responsible for the overall operations of the organization Information Technologies. Below are the attributes for this audience: Subject Knowledge: The Vice President of Information Technology is a Semi-expert level subject matter expert, who has many years of managing Information Technology operations. Because I know that he is already familiar with the issue affecting the organization. It was more important to provide the benefits of the solution to him. Position in the organization: The Vice President Information Technology is the highest decision- making position within the organization for information technology projects and therefore my superior. So, made sure that the memo contained a solution that addresses the need of the organization. Personal Attributes: The Vice President of Information Technology has positive emotion toward this issue because he mentioned during an All-hands Meeting that this is a current issue, that needs to be addressed. That is why I mention this in the memo to emphasize this solution is cultivated because of a need that was identified by him. Types of readers: The Vice President of Information Technology is the primary reader of the memo and will decide on whether the solution should be considered. Therefore, I mention the cost and highlighted this solution as a compelling choice in comparison to the alternatives. Fact Sheet Audience: Comprises members of the IT department (Network Engineers, Security Engineers, Voice Engineers and NOC), Department heads and Brand Managers. Subject Knowledge: The subject matter knowledge of this audience includes expert level, semi-expert level and nonexpert level. To address the different levels of subject matter knowledge I included definitions and diagrams to aid readers in understanding. Position in the organization: This audience contains my peers, subordinates, and superiors. So, the fact sheet has information that explains what the solution does and how it applies to the organization. Personal Attributes: This audience consists of readers with both neutral and positive emotions with varying motivational levels (eager and reluctant). Therefore, information about the solutions' benefits, ease of deployment and industry standard is included in the fact sheet. Types of readers: The readers of this document are secondary readers, all of whom will be affected by the proposed change and can influence it. Thus, support and process information is included in the fact sheet.
