Choosing A Payroll System Introduction  Payroll Management System is basically used to build an application program that a company uses to manage the records of the employees working in the company.  Only the administration has the legal rights to work with the system.  Employees can only log on to the system to see their current status. Uses of Payroll System  Create records  Delete records  Save records  For employees according to their information given to the administration of the company.

Project Objectives  To improve efficiency of company’s administration.  To store up-to-date information of the employees.  To make the employees understand the rules of the company.  To reduce extra cost for the security of the database. Technical Issues  How the program saves data?  How errors are detected and how the error messages are to be displayed?  What happens when we try to overwrite the data?Is the software user-friendly? Project Description  The term payroll encompasses every employee who receives a regular wage or other compensation.  The different payment methods are calculated by a payroll specialist and the appropriate paychecks are issued.  After a payroll accountant multiplies an employee’s hours by his/her pay rate , the gross income amount is entered into a computer program  Regular deductions such as tax withholdings, medical insurance etc. are then categorized and subtracted.  The remaining balance is then converted to a check and becomes the employee’s net pay for that time period.  Setting up an effective payroll system is not difficult for trained professionals, but it can be very time consuming  A payroll system involves everything that has to do with the payment of employees and the filing of employment taxes, keeping track of hours, calculating salary, printing and delivering checks etc.  Few of the possible deductions are:-  Health insurance  Vacation days  Sick days  Employee loans  Child support payments The Most Important Modules of The Design Are

Introduction  Payroll Management System is basically used to build an application program that a company uses to manage the records of the employees working in the company.  Only the administration has the legal rights to work with the system.  Employees can only log on to the system to see their current status.  Here we are going to learn the case studies of a payroll system Example for converting Computerized system  Your are supposed to conduct a system study and do a presentation on the current manual system and how a computerized system will benefit the organization.  You have one hour in which to do the presentation and Manual system MD himself will attend.  You’re a system analyst of a known software house  Your are supposed to learn the current manual system and change it to the new computerized system.  As a system analyst, you job will be to o Learn how the current manual system works o Meet the key personnel ( employees ) of the organization o Conceptualize in diagrams , how the current system works o Go back and talk to that MD about how you have understood the system o Draw your Data Flow Diagrams o Construct the table structures o Get the programming done o Implement the new system o Check that it functions properly o If any flaws found, then go back to step o Make a smooth transfer from the manual to the computer system Presentation session  The presentation will contain a model of the current manual payroll system followed by a presentation of the proposed computerized payroll system in great detail  This is properly explained by system analyst and the following things are expected by him or her The Environmental Model  This is an overview of the proposed system

 It concentrates on what has to be done rather than how it is to be done  He various heads are o An event list o Functional decomposition diagram o Context diagram o Presentation diagram o A statement of purpose An event list  It is a list that contains a sequential ordering of the events taking place in the current manual system. And it is used to identify all the external entities required as inputs and outputs of the current manual system  Eg o The HRD department o Time office (time in and out) o Accounts department Functional decomposition diagram  In event list, after identifying all the entities , detect the hierarchical decomposition among them (entities). These are functional decomposition diagram o Payslip  Earning process  Label  Process o Input o Output  Deductions Process  Label  Process o Input o Output Context diagram  This diagram helps you to identify the department which is involved in the payroll system

 The basic pay of an employee is fixed as per the rules laid down by organization  The factors like HRA, DA, PF,ESI and IT are paid to the employee as percentages of basic  The take home salary of an employee is depends upon the basic that has been fixed by the organization The Earning Heads  Basic ( compensation given by the company to the employee for the work done )  Overtime compensation  Dearness allowance  Bonus Fringe (Extreme) Benefit  House Rent Allowance (HRA) -(family accommodation)  Leave Travel Allowance (LTA)-(expenditure incurred on a vacation)  Leave Travel concession (LTC)-(journey fare)  Conveyance Allowance (expense incur in travel to and from office)  City compensatory Allowance(CCA) The deduction heads  Income tax and profession tax  Provident fund  Company Accomodation charges Deduction for absence from duties  Attendance information  Attendance record  Leave details-CL, Earned leave (EL)/Privilege Leave (pl)  Medical leave (ML) Example for Payslip Format:

Schematic of the Model IntroductionTo have a better understanding of how the new payroll computerized system will work, we will have to draw a schematic (graphical or chart or diagram) Model for the current system.  Also one must understand the movement of data in the organization  This method of understanding the data movement can be made more simple to understand by drawing diagrams  This diagrams which represent the data flow is called the Data Flow DiagramThe Data Flow Diagram for the Payroll System is as drawn in the following diagram
