Welcome

Welcome to the School of Media and Communication. The Staff Induction Guide is designed to help you settle into your new role quickly and smoothly. It is a local guide and should be used in conjunction with other broader RMIT resources. School Overview

The School of Media and Communication aims to produce graduates who will respond creatively to the challenges of a rapidly changing international, media-driven environment. Media and Communication has strong links with industry, and responds to ongoing change brought about by technology and convergence. The School is positioned as a major contributor and leader of the debate within media driven industries.

The School delivers the full spectrum of educational programs from certificate to PhD: industry training, short courses, vocational education, undergraduate and postgraduate degrees. Some programs have flexible delivery options for on-line learning and the School has a significant presence in international markets onshore and offshore. The School which comprises 225 core staff - including 170 academic and teaching staff, nearly 600 sessional teaching staff, and 6400 students (head count) - is a diverse, international group of dedicated people developing knowledge relevant to multiple social contexts.

Email Protocol

Email is a quick efficient tool to communicate with many people on a variety of topics and issues. However, it is just ONE tool of many and may not always be the best medium to use. Think through this form of communication before you use it and contact the Communications Officer for further information on School protocols.

Please set your web browser to our School homepage: www.rmit.edu.au/mediacommunication and add the url to your email signature. The School website is for external audiences and includes information on all our programs and research areas.

Staff Central and Employee Self Service (ESS)

Staff Central and Employee Self Service (ESS) are the two human resources technology platforms used to manage and maintain employee information. RMIT will incrementally transition all functions from ESS to Staff Central Staff Central and Employee Self Service (ESS)

Employee Self Service (ESS) ESS

The Employee Self Service (ESS) facility provides access for staff to view, submit some employment related payment claims, and in some cases update staff data in the University’s SAP system.

Common activities performed on ESS include:

  • Access your payment summary
  • Access payslips
  • Submitting leave approval to your supervisor Leave Approval Quick Reference Guide
  • Submit and display a payment claim e.g. apply for overtime or additional hours
  • Display and change your emergency contact and mailing address information
  • Display any objects on load to you from the University
  • Display your bank details
  • Display your professional development activities
  • Display your professional qualifications

Any changes you make in ESS will update your record immediately.

Compliance Education - online training modules

RMIT is committed to the health, safety and wellbeing of its staff. We must also comply with a range of statutory requirements. Training on these important matters is provided via a number of online training modules which staff are required to complete when they commence at RMIT, then every 2 years as a refresher. Compliance Education New staff are required to complete these modules in their first month of employment (staff login required)

  • to fully complete the module , make sure you enter your personal details correctly at the end, then print your certificate as a record of completion
  • to access the modules from a non-RMIT network computer (e.g. from home) please use the following: Login: rmit Password: compliance For Equal Opportunity modules only use Login: fair Password: play
  • if you receive a reminder about modules you believe you have already completed, please email a copy of the relevant certificate to [email protected] so that your completion can be verified

How do I…make a claim for staff expenses reimbursement? For expenses incurred by staff on behalf of RMIT University, and for staff development/travel reimbursements please download the staff reimbursement form, then obtain approval from your Deputy Dean or supervisor and forward with all relevant receipts to the School Finance office building 9.4.05 Staff Reimbursement form

How do I…get keys to my office?

If you need an office key to be issued please visit your School Reception office (bldg 9 or bldg 94) and ask for Dominic Hogan (ext. 55260) Facilities Officer to arrange it for you.

How do I…request a new Security Access Card?

RMIT Security Access Cards are required for access to a number of School locations. To request an Access Card download Security Access Card Request form Once you have supervisor approval take to your nearest Reception office in building 9 or 94 for authorisation. Take the authorised form to the Security Control Room in bldg 14 level 3 ground floor, entrance is on Franklin Street. Security staff can arrange a new card and access for you on Monday, Wednesday or Friday between 10.00am - 12.00pm or 1.00pm – 3.00pm.

How do I…request IT support?

If you have IT issues with a staff computer, classroom computer, student leased computer, printer or network access your must contact the IT Service Desk on ext. 58888, or log a call via the Service and Support Centre

How do I…submit content for my staff profile on the web?

RMIT encourages staff to publish individual profile information on the RMIT website as a means of capturing research, scholarship, professional and industry activity. Staff profile pages are used by media, the professions, industry, academic peers, staff, future and current students. Each staff member has an existing staff profile page which is in two parts:

  • Contact details - the upper section contains your name and contact information automatically generated by HR. It is the responsibility of individual staff members to update change of contact details via Service and Support (see Information and Technology Services/Help and Support - Update contact details) (login required).
  • Staff Profile Information - the second section provides staff with space to add information about your role via the Service and Support (see Web and Digital Services/Content - Staff profile content submission) (login required). Staff are encouraged to update teaching responsibilities, research overview, key activities and research interests, including achievements, projects and biographical information. A photograph may also be attached.

How do I…ask the library to acquire a book/journal/DVD?

Contact the School Liaison Librarian: Amy Saunders, RMIT Swanston Library, Building 10.5, City Campus on Monday, Tuesday, Thursday or Friday. To make an appointment contact Amy on ext: 54556 or email [email protected]

How do I…request new stationery?

Staff stationery can be requested by ordering via your School Reception office. Please select products required from the catalogue and advise the Reception staff.

How do I…collect and send mail?

Incoming and outgoing mail within the School will be processed for you at your School Reception office. If you are continuing/fixed-term staff and have not yet been allocated a mailbox, please notify your Reception office and you will be assigned one.

The School operates an extensive Technical Services area providing audio and video production equipment, photographic equipment and specialist audio-visual studios and facilities for students and staff within the School.
