Abstract The web-based student ID application system is designed to replace the current manual system of collecting student details to a more digitalized system which will help in reducing processing time and having to queue up. The current file-based system takes up on the manual way where students have to avail themselves at the department to fill out their details for ID application. The system encounters challenges including redundancy, its time consuming and even loss data. The aim of the study include: analyzing current system to determine user requirements, designing the online system, developing the system and testing it. The web-based system will help in eliminating any chances of errors. It makes it also possible for students to apply for theirs ID’s from anywhere and at any time. The web-based system will adopt the Rapid Application Development (RAD) methodology as the user group (students) is highly defined. Frontend- HTML, CSS, JavaScript, PHP. Backend- MYSQL. On system implementation, the new system aimed at reducing redundancy, queuing and processing time. iv

1.0 Introduction The web-based student ID application system provides a rather fast way to send your information and high processing of the details thus reducing the waiting time for ID processing. The system will also allow for renewal/replacement of the ID’s. It will also reduce the redundancy of the data provided as the students will be required to upload their passport pictures. 1
1.2 Problem statement The file-based application system at play in TUM has been effective the past couple years, however with the increased number of applicants the system wastes a lot of time during the application process as the students have to queue up for long hours in order to access the services. 3
1.3 Objectives of the study 1.3. 1 General objective To develop a web -based student ID application system to reduce loss of data and also the processing time. 1.3.2 Specific objective a) To analyze the existing system so as to identify the problem. b) To design a system with timely ID application and collection. c) To develop the web-based student ID application system. d) To test the web-based student ID application system. 1.4 Research questions In consideration to the specific Objectives, this study seeks to answer the following questions for the successful implementation of the study: a) What is the current ID application process? b) To what extent have challenges of current application and selection process been addressed in the proposed system? c) Does the proposed system provide certainty that it will be timely to deliver? d) How does both the current process and proposed system ensure legitimacy of the applicant details provided? 4
1.7 Scope of the study 1.7.1 Concept This study was restricted to Technical University of Mombasa and it aimed at identification of the weakness of the current file-based system. The proposed system was interfaced with the activities of the Institution. The system, functions and fulfills all the functionalities as per the proposed system. 1.7.2 Content Scope A student gives their details which has to contain name of student, faculty, course, registration number, passport size photo and ID number. 1.7.3 Geographical Scope The system can be accessible from any location in the country within a network coverage. 1.7.4 Time Scope The user can access the system at any time. 6
