Structure of a positive reply
1. To acknowledge receipt of enquiry
Thank you for the interest you showed in our products in your letter of 3rd June.
We were very pleased to receive your enquiry of 12th November regarding our
range of mountain bikes.
Many thanks for your letter in which you enquire about our range of soft toys.
With reference to your enquiry of 17 th October, we are pleased to provide you
with the information you requested.
2. To give information
Our company has been involved in the eld of electronic engineering for over 10
years.
We have been manufacturing high quality products for many years and we are
interested in exporting to your country.
3. To describe sales terms
Our prices are quoted FOB Liverpool.
There is an extra 5% discount on our prices for cash.
An additional discount of 3% is available on orders of more than 1,000 pieces.
We can give a special discount of 7% on all orders received before 27 th April.
We usually require payment at 60 days from receipt of order.
Payment must be made by bill of exchange within two months of invoice date.
A proforma invoice will be issued which must be settled before we can dispatch
the goods.
We can conrm that we are in a position to supply the goods you are interested
in by tha date required.
All the products you are interested in can be dispatched on conrmation of
order.
We can deliver within ten days from receipt of order.

Structure of a negative reply

  1. To state inability to meet customer’s request
  • We are sorry to say that we are unable to supply the towels you specified.
  • Unfortunately, it is not possible for us to deliver the goods you have requested by your deadline.
  • Much to our regret, we are unable to supply you with the goods you requested.
  • We regret that we have to refuse your request for 500 AC45G television sets at the present time.
