Policies and Procedures for District Final Exams The information below outlines the policies and procedures for all District Final Exams, regardless if they are optional or not. If you have any questions, please contact the exam’s specific subject area specialist. Scoring of District Final Exams The Student Progression Policy (SPP) states: Final exams that cover the course performance standards as aligned with the adopted state standards are required in all year-long courses in grades 6-8. The district may require common district assessments in selected courses. Final exams that cover the end of course performance standards as aligned with the adopted state standards are required in all subject areas, grades 6-12. The exam grade will count as a major test grade in determining the student's grade for the last marking period. The exam will be given during a specific window of time during the last grading period. No student shall be required to take more than two exams in one school day.” Additionally, Advanced Placement, International Baccalaureate, AICE, FSA, State EOC, or SSA (FCAT) scores will not be factored into a student's grade, except where it is a state requirement. Storage of District Final Exams Each school should follow the same collection process for the District Final Exams as they would a teacher- created course final exam; however, this is a school-based decision. Many schools keep one copy of the test booklet and the answer sheet for every student who is absent. Others keep one test booklet on file and make copies at a later date. In any event, the remaining copies of test booklets and answer sheets should be recycled. Length of District Final Exams There are no final exams that will require more than the allotted time, as stated below; however, not all assessments will require the full testing period either.

  • Middle school tests are designed to take no more than 50 minutes and to be given in one class period.
  • High school tests are designed to take no more than 90 minutes and may be given in one extended class period or two regular class periods.
  • Extra time should be provided to students as specified in their IEP, LEP, or 504 plans. Testing Windows for District Final Exams Assessment windows have been specified to help ensure that all available instructional minutes are consistently used among schools. For subjects that have a performance-based component to their District Final Exam (such as World Languages or Music, the performance-based component may occur outside of this window). Computer Use for District Final Exams The majority of the District Final Exams are paper-based assessments whose bubble sheets are scanned into Eduphoria. However, some require the use of computers as noted by the subject area specialists.

Printing the District Final Exams The district does not have the resources to deliver the District Final Exams to each school; therefore we are recommending schools follow the same process used for district interim assessments as outlined below:

  1. Subject area specialists will send the District Final Exam as a PDF file to department chairs and assistant principals.
  2. Department chairs will forward the email containing the files to each teacher.
  3. Each teacher will print the final exam to the copy center, ordering one (1) class set of test booklets.
  4. Each teacher will print individual student answer sheets for the District Final Exam from Eduphoria. Schools will be allocated funds to offset the printing costs for a class set of Required District Final Exam booklets depending on student enrollment, courses offered, and available district funds. Security of District Final Exams Teachers are responsible for maintaining the security of the tests. A security agreement is attached to the last page of this booklet and will also be sent to the testing coordinators. This agreement will need to be signed by the teacher and returned to the testing coordinator before the department chair sends out the email containing the District Final Exam. Under no circumstances is it appropriate for any individual to save, copy, or transform items, passages, or tests from any district assessment. Distribution and Collection of the District Final Exams The teacher will distribute and collect both the booklets and the answer sheets. The teacher will also scan their own students’ answer sheets into Eduphoria. Secondary Assessment Administrator Prohibited Activities Agreement for 2018 - 19 It is important for you, as an assessment administrator of a district assessment, to know that the following activities are prohibited. These requirements are intended to preserve testing integrity and to provide clear and uniform guidelines for all test administrators of district assessments. Please read the following list of prohibited activities and sign your name on the signature line at the bottom of this page indicating that you understand these actions and their consequences. If you have questions regarding the information in this Agreement, please contact your school testing coordinator. I understand that before testing I may not:

  • Leave test materials unattended
  • Remove test materials from the school’s campus
  • Read test items
  • Review test items in any form (including assessment services such as Kahoot, etc.) with students I understand that during testing I may not:
  • Answer students’ questions about test items
  • Give students verbal cues (“you may want to re-check number 7”) or non-verbal cues (pointing at a specific item)
  • Give students more time than is allotted for the session (unless a student has an extended time accommodation)
  • Encourage students to finish early
  • Display or fail to cover visual aids (e.g., word lists, multiplication tables) that may help students
  • Engage in activities that prevent adequate supervision of students during the testing period
  • Leave the room unattended for any period of time
  • Allow students to talk or cause disturbances
  • Allow students to use cell phones or other electronic devices
  • Coach students during testing regarding test-taking strategies I understand that after testing I may not:
  • Leave test materials unattended
  • Remove test materials from the school’s campus, except for VLT essays
  • Send test materials home with students
  • Change student answers
  • Discuss the content of Math SMTs, Social Studies EOCs, and Science SMT 1 with anyone, including students and other school personnel
  • Reveal the content of the test via electronic communication, including but not limited to email, text, or post to social media sites (Facebook, Twitter, etc.) If you are administering a test to students with flexible-responding or flexible-presentation accommodations that require you to read test items, you may not reveal, copy, or share the items, or use the test content during instruction after testing.
