  1. BARRIERS TO EFFECTIVE COMMUNICATION

What is Communication Barrier?

Communication is the process of transmitting information involving a lot of media including human beings. Managers frequently cite barriers & breakdowns in communication as business constraints. Miscommunication occurs at three levels:

  • At the level of transmitting or sender
  • At the level of medium
  • At the level of receiver

Classification of Barriers & Breakdowns in Communication (9 Types)

Manager looks at the causes of communication problems. There are NINE types of classification of communication barriers (R. Paul, EC 53):

  1. PROCESS BARRIERS

Every step in the communication process is necessary for effective communication. Blocked steps become barriers.

Types of Process Barriers with Examples:

Barrier Type Example

Sender Barrier A management trainee with an unusual new idea fails to speak up at a meeting for fear of criticism.

Encoding Barrier Spanish-speaking factory worker cannot get an English-speaking supervisor to understand a grievance about working conditions.

Medium Barrier After getting no answer three times & a busy signal twice, a customer concludes that a store's customer hot line is a waste of time.

other type of barrier. This is true because of people's differing background, perception, values, biases, needs, & expectations. Family & personal problems including poor health, alcoholism, over emotional strain may be so upsetting that an employee is unable to concentrate on work.

How Can Psychosocial Barriers Be Overcome?

  1. Management should be more conscious to ensure minimum qualification for post of staffs in the management levels.
  2. Language barriers should be ensured through education & training for the development of management.
  3. To overcome family & personal problems (poor health, alcoholism, emotional strain), a preplan should be taken against the affected person for the betterment of management.
  4. SEMANTIC BARRIERS

Semantic is the study of meaning in words. Words are an indispensable feature of everyday life, though words can sometimes cause a great deal of trouble.

Types of Semantic Barriers:

  • Analysis & Interpretation of the Words: Words may carry different meanings for a single word. Due to different social, economic, cultural, & educational backgrounds, people interpret the different meaning for the same word — this may cause miscommunication.
  • Denotations & Connotations: All types of words have two types of meaning — denotative & connotative. Denotative = literal translation (chair, table, accounts, meeting). Connotative = qualitative judgment & personal reaction (honest, sincere, slow).
  • Misunderstanding: When a junior officer cannot understand the speeches of boss, it may create miscommunication.

How Can Semantic Barriers Be Overcome?

  • Each of the words should be cleared by the senders of the message.
  • Simple words should be used for communication to overcome the above barriers.
  • Familiar & traditional system should be used for communication.
  • A familiar person should receive the information for communication to overcome the above barriers.
  1. ORGANIZATIONAL BARRIERS

Organizational barriers depend on the organizational behaviors in the different levels of management (top level, mid-level & low level) due to poor skill, lower level staffs, proper planning, decision making, policies, organizational structure, environment of the business, competitors, goodwill of the organization, activities of the organization.

How Can Organizational Barriers Be Overcome?

  1. Management should be more conscious to ensure the skill of management through proper training.

  1. Management should take proper decisions in proper time for the development of management.
  2. Management should take proper policies in proper time for the development of management.
  3. Management should form organizational structure for the development of management.
  4. More attention should be taken for the development of management on the basis of present situation to achieve the selected goals.
  5. LANGUAGE BARRIERS

Practically all types of communication are carried on through language whether it may be different ways. Neighboring countries like India have many provinces with several & individual languages. So all people are not capable to complete each language to communicate with others due to language barriers.

How Can Language Barriers Be Overcome?

  • All types of communication systems should be allowed if necessary.
  • Both Bengali & English medium instructions should be allowed to avoid the language barriers.
  • Concerned persons should be trained in speaking & writing.
  1. INAPPROPRIATE MEDIA BARRIERS

Each communication must be transmitted through an appropriate medium. An unsuitable medium is one of the best & biggest barriers for the communication level.

How Can Inappropriate Media Barriers Be Overcome?

  1. Each communication must be transmitted through an appropriate medium.
  2. Regarding this flexibility, concepts or appropriate methods should be followed.
  3. An unsuitable medium also should be indicated for the communication level.
  4. OTHER DIFFICULTIES / PROBLEMS / BARRIERS OF COMMUNICATION

Still other barriers to communication are differences in status & power between the sender & receiver. When information is passed through several media in the organization hierarchy, it tends to distort.

Lack of Planning Without planning no work can be done. People start talking & writing without first thinking, planning, & stating the purpose of the message.

Un-clarified Assumptions

A customer may send a note saying he/she will visit a vendor's plant without clarifying arrangements — resulting in confusion & loss of goodwill.

Poorly Expressed Messages

Poorly chosen words, omissions, lack of coherence, poor organization of ideas, awkward sentence structure, platitudes, unnecessary jargon.

Emotional Barriers:

One of the chief barriers to open and free communication is the emotional barrier. It is comprised mainly of fear, mistrust and suspicion. Many people hold back from communicating their thoughts and feelings to others — they feel vulnerable. Excessive fear of what others might think can stunt development as effective communicators.

Cultural Barriers:

When we join a group and wish to remain in it, we need to adopt the behaviour patterns of the group. The group rewards such behavior through acts of recognition, approval and inclusion. Where there are barriers to membership, a high level of game-playing replaces good communication.

Interpersonal Barriers — 6 Levels:

Withdrawal Absence of interpersonal contact. Refusal to be in touch and time alone.

Rituals Meaningless, repetitive routines devoid of real contact.

Pastimes Fill up time with others in social but superficial activities.

Working Activities that follow the rules and procedures of contact but no more.

Games Subtle, manipulative interactions about winning and losing. Include 'rackets' and 'stamps'.

Closeness The aim of interpersonal contact where there is a high level of honesty and acceptance of yourself and others.

  1. DIFFERENT COMPREHENSION OF REALITY

Different individuals comprehend reality in varying ways due to a multitude of factors, including their unique sensory experiences, mental filters, and individual abstracting processes. These differences can lead to miscommunication and misunderstandings.

  • Perception and Individual Differences: Each person's perception is shaped by their unique experiences, beliefs, and values.
  • Mental Filters: People utilize mental filters based on past experiences, biases, or personal beliefs to process information.
  • Abstracting Processes: Abstracting involves simplifying and generalizing information, which can lead to different interpretations.
  • Communication Barriers: People struggle to understand each other's perspectives due to these differences.

  • Cultural differences: Cultural norms and values influence how individuals interpret actions

  1. SOCIO-PSYCHOLOGICAL BARRIERS

Socio-psychological barriers are communication hurdles stemming from social and psychological factors like attitudes, emotions, and status differences. They significantly impact communication effectiveness, making it harder for messages to be received and understood accurately.

  • Attitudes and Opinions: Personal beliefs and opinions can create barriers if they conflict with the message.
  • Emotions: Strong emotions, like anger or frustration, can distort how a message is perceived.
  • Status Differences: Power dynamics or perceived hierarchies can create barriers.
  • Inattention: Lack of focus or listening skills can prevent messages from being received.
  • Closed Minds: Resistance to new ideas or perspectives can hinder communication.
  • Distrust: Lack of trust in the sender or message can prevent it from being accepted.
  • Poor Recollection: Difficulty remembering details can lead to misunderstandings.
  • Premature Evaluation: Jumping to conclusions before fully understanding creates barriers.
  • Interruption: Interrupting someone while speaking disrupts communication flow.
  • Lack of Feedback: Insufficient feedback indicates a message has not been received correctly.
  • Social factors: Age, gender, race, and socioeconomic class can influence how individuals communicate.
  • Psychological factors: Anxiety, shyness, low self-confidence, and introversion can impact communication.
  1. WAYS TO OVERCOME BARRIERS TO EFFECTIVE COMMUNICATION

To overcome barriers to effective communication, ensure clear and concise messaging, utilize appropriate language, actively listen, and check for understanding. Consider the receiver's needs, including their language proficiency and background.

Strategy Details

  1. Clarity & Conciseness Be direct and to the point; use simple language; avoid jargon and technical terms that may be misunderstood; break down complex info into manageable chunks.
  2. Active Listening Pay attention to both verbal and nonverbal cues; ask clarifying questions; provide feedback through nodding, facial expressions, and verbal confirmations.
  3. Consider the Receiver Choose an appropriate channel; be mindful of language understood by receiver; respect individual communication preferences.
  4. Building Trust & Openness

Foster a culture of trust; create an environment where people feel comfortable expressing themselves; be genuine and honest; use empathy.
