Tracking Changes and Adding Comments
Using the Track Changes and Comments features, you can have others edit or add
comments to your document without changing the original text. When the document is
returned, you have the option to either accept or reject these changes.
The reviewing toolbar gives you access to a feature called Track Changes.
1) Click on View
2) Click on Toolbars
3) Click on Reviewing
When you work on a document with two or more people, you want to be able to see
where changes have been made. Using the Track Changes commands you are able
to show inserted text and deleted text. In Page Layout view, the deleted text appears in
a balloon in the right margin, and the inserted text appears in a new color and
underlined in the document.
To Track Changes:
1) Open the document to be edited
2) Click the Track Changes icon on the Reviewing toolbar
NOTE: When the Track Changes feature is enabled, TRK appears in the status
bar located at the bottom on the screen. When Track Changes is turned off, TRK
is dimmed.
3) Make changes to the document. Word will track and mark these changes.
4) Click the Track Changes icon again when you are finished editing to turn
this option off.

Tracking Changes and Adding Comments

Using the Track Changes and Comments features, you can have others edit or add comments to your document without changing the original text. When the document is returned, you have the option to either accept or reject these changes.

The reviewing toolbar gives you access to a feature called Track Changes.

  1. Click on View
  2. Click on Toolbars
  3. Click on Reviewing

When you work on a document with two or more people, you want to be able to see where changes have been made. Using the Track Changes commands you are able to show inserted text and deleted text. In Page Layout view, the deleted text appears in a balloon in the right margin, and the inserted text appears in a new color and underlined in the document.

To Track Changes:

  1. Open the document to be edited

  2. Click the Track Changes icon on the Reviewing toolbar

NOTE: When the Track Changes feature is enabled, TRK appears in the status bar located at the bottom on the screen. When Track Changes is turned off, TRK is dimmed.

  1. Make changes to the document. Word will track and mark these changes.

  2. Click the Track Changes icon again when you are finished editing to turn this option off.

NOTE: In order for the balloon text to appear in the right margin you must be in Print Layout View.

Inserting a Comment

Word allows you to make comments to documents by providing balloons to the screen that appear like sticky notes. You can use them to communicate suggestions, ideas or editing comments.

  1. Click or highlight the location in the document where you want to insert a comment

  2. Click the New Comment button on the Reviewing toolbar

  3. Enter a comment into the space provided

  4. Click anywhere in the document to return to the document

Accepting and Rejecting Changes

When you receive a document containing tracked changes, you will want to accept or reject the changes. When you accept a change, inserted text becomes part of the document and deleted text is permanently removed. You use the Reviewing toolbar to accept and reject changes in the document and to find and remove comments.

Accept Change Reject Change/Delete Comment

To move to the next tracked change/comment in the document click on the Next icon

in the Reviewing toolbar.

Display Options for Viewing Tracked Changes

You can choose from four different displays when reviewing a document that contains tracked changes.

  • Original Showing Marku p: the deleted text appears as strike-through text
  • Original: shows how the document looked before any changes were made
  • Final: shows how the document will look after changes have been accepted/rejected and all markup formatting has been removed
  • Final Showing Markup: shows all changes before accepting or rejecting them
