OVERVIEW DESCRIPTION PHASE GATE ACTIVITIES DELIVERABLES PLANNING CHARTER PROJECT PLANNING / DISCOVERY / BUSINESS PROCESS ANALYSIS Before developing the Project Charter, organizations often conduct planning or Business Process Analysis (BPA) sessions. These sessions are necessary to better understand project requirements since a charter cannot be finalized without sufficient detail. Project planning sessions help define the overall direction of the project and are different from kickoff meetings, which are used to communicate finalized plans to the team. During this phase, teams clarify the project scope, align on communication and decision-making processes, define roles and responsibilities, identify dependencies, and proactively assess and mitigate risks. This stage ensures the team is unified and prepared for project execution
PROJECT CHARTER REVIEW After the Project Charter is created, it goes through a structured review process. The Project Manager and PMO Director first conduct an initial review and agree on the readiness of the document. The Project Manager then schedules review meetings with stakeholders, including sponsors and the project team. These review sessions are iterative, allowing for feedback and revisions until the charter meets all requirements. The goal of this process is to ensure that all stakeholders share a clear understanding of the project’s objectives and how they will be achieved before moving to final approval.
