Abstract: - In the exiting Leave Record Management system every college/Department. This project main idea is to develop an online centralized application connected to database which follows manual procedure in which faculty enters information in a record book. At the end of each month/session, Administration Department calculates leaves of every member which is a time taking process and there are chances of losing data or errors in the records. In this module, head of Department (HOD) will have permissions to look after data of every faculty member of their department. HOD can approve leave through this application and can view leave information of every individual.This application can be used in a college to reduce processing work load. will maintain faculty leave, notices information and their replacement. Leave management application will reduce paper work and maintain record in a more efficient & systematic way. This module will also help to calculate the number of leave taken monthly and annually.

Introduction:-

In the existing paper work related to leave management, leave are maintained using attendance register for staff. The staff needs to Submit their leaves manually to their respective authorities. This increases the paperwork & maintaining the records becomes tedious. Maintaining notices in the records also increase the paperwork. The main objective of the proposed system is to decrease the paperwork and help in easier records maintenance by having a particular centralized database system, where leave and notices are maintained. The proposed system automates the existing system. It also reduces chances of data loss. This module intelligently adapts to HR policy of management & allows sttaf and their line manager to manage leaves and replacements for better scheduling of workload. The application basically contains the given module Module:- ➢ STAFF MODULE:- Its consist of two type of faculty (a) Teaching (b) Non-teaching ➢ HOD MODULE:- It consist of Head of the department /manage body which takes critical decision related to HR. ➢ ADDMINISTRATION MODULE:-It calculate leaves and maintains records.

System analysis:- The analysis of model is a concise, precise abstraction of what the desired system must do, and not how it will be done after the study of the existing system is completed. This basically includes system study and the requirement analysis. Interacting with the clients regarding their requirement and expectation from the system does requirement analysis. The steps, which are essential for system analysis are:

  1. Research and define essential components.
  2. Analyze current processes and identify gaps.
  3. Interview users, trainee, triners, and other concemed personal regarding essential components and current processes.
  4. Write requirement document.
  5. Define standards for standards, policies, and procedures.
  6. Update and expand project plan.

**Preliminary investigation:-

  1. Benefit to organization:-** The organization will obviously be able to gain benefits such as saving in operating cost, reduction in paperwork, better utilization of human resources and more presentable image increasing goodwill. The other benefits are improved service and faster and better access to up-to-date information. 2) The initial cost :- The initial cost of setting up the system will include the cost of hardware (server/clients, network adapter and related hardware), software (server OS, add-on software, utilities) & labor (setup/maintenance). 3) Running cost:- Besides the initial cost the long term cost will include the running cost for system including the AMC, book charges, cost for human resources, cost for update/renewal of various related software. 4) Need for training:- The users along with the administrator need to be trained at the time of implementation of the system for smooth running of the system. The client will provide the training sites,

Feasibility study:-

At this stage, the analyst estimates the urgency of the project and estimate the development cost. In feasibility analysis, we have to study the following : 1) Technical feasibility :- Technical feasibility is concerned with the availability of hardware and software required for the development of the system, to see compatibility and maturity of the technology proposed to be used and to see the availability of the required Technical manpower to develop the system. 2) Operational feasibility :- Operational feasibility is all about problem that may arise during operation. There are aspect related with this issue: what is the probability that the solution developed may not be put to use or may not work? 3) There is very least possibility of management being averse to the solution, there is significant probability that the end users may not be interested in using the solution due to lack of training , insight etc. 4) Economic feasibility :- It is the measure of cost effectiveness of the project. The economic feasibility is nothing but judging whether the possible benefit of solving the problems is worthwhile of not. However, when the specific requirements and solution have been identified, the analyst weighs the cost and benefits of all solution, this is called “cost benefit analysis.

System planning:- System planning is done by people who have faith in the future and a vision of the future adequate to form the basis for planning. System planning has two major outputs which embody its contributions. These are proposals and design concepts. The proposal is addressed to the decision- maker. One of its main ingredients consists of a statement of the objectives of the system. The objectives may be set by the system planner, or they may be articulated by him as an expression of his understanding of the concensus of other responsible persons. Design concepts evolving from system planning are based on the visualized system, and are addressed primarily to the system engineer. There are many problems and pitfalls associated with system planning which should be kept in mind in system planning. Consideration of these helps to make the plans more realistic, more likely to be accepted, and less likely to bog down in the implementation stages. The development of an adequate science of planning should carry high priority among systems people, as such a science will help to provide effective analytical and communicative tools for system planning.

Proposed System:- The proposed system should have the following features. The transactions should take place in a secured format between various clients in the network. It provides flexibility to the user to transfer the data through the network very easily by compressing the large amount of file. It should also identify the user and provide the communication according to the prescribed level of security with transfer of the file requested and run the required process at the server if necessary. In this system the data will be send through the network as a audio file. The user who received the file will do the operations like de embedding, decryption, and decompress in their level of hierarchy etc.
