Project Stakeholder Management

Stakeholder Management

2  First of all, PM should know who are the stakeholders for this project.  During software development you deal with different kinds of people.  If you can predict behaviors of people in your project, probability is high you can develop good professional relationship with them.  If you have better relationship with people,  (^) you can get better resources  (^) you can better requirements  (^) your team’s performance will be high

Example

4 

You are developing software application that will

be used in 7-major cities of Pakistan.

Since your team is based in Karachi, to understand

the business-need and solution scope, your team is

meeting with stakeholders in Karachi only.

Assumption of top management of the

organization is process is same all over Pakistan.

Anything wrong with this approach?

Stakeholder Management

5  Stakeholder Management is an important discipline that PM use to win support from others.  It helps PM ensure that their projects succeed where others fail.  Stakeholder Analysis is the technique used to identify the key people who have to be won over.  You then use Stakeholder Planning to build the support that helps you succeed.

Stakeholder Management

7  Communicating (kickoff-meeting) with stakeholders early and frequently, you can ensure that they fully understand what you are doing and understand the benefits of project.  Effective communication with objective When you do a meeting – it should have agenda and action items derived form meeting When you tell somebody his role – it should be clear and understandable by individual When somebody report work progress – it should be quantifiable report of project

8 

Effective Project Managers understand that to get

results they must create an atmosphere of

enablement and collaboration.

This is reinforced in research published by Standish

Group which revealed that the majority of IT-projects

fail, and for those that succeed, what constitutes the

top reasons for success.

The number one reason for project success is cited as

user involvement.

Stakeholder Impact on Project Success

  • PMBOK v

Project Stakeholder Management

Because stakeholder management is so important to

project success, PMI decided to create an additional

knowledge area as part of the Fifth Edition of the

PMBOK® Guide in 2012.

 Purpose of project stakeholder management is  (^) to identify all people affected by a project  (^) to analyze stakeholder expectations  (^) to effectively engage stakeholders 11

Project Stakeholder Management

13 Identifying stakeholders Planning stakeholder management Managing stakeholder engagement Controlling stakeholder engagement Monitoring stakeholder relationships and adjusting plans and strategies for engaging stakeholders as needed. Communicating and working with project stakeholders to satisfy their needs and expectations, resolving issues, and fostering engagement in project decisions and activities. Determining strategies to effectively engage stakeholders. Identifying & perform analysis people involved in the project, and determining the best ways to manage relationships with them.

Project Stakeholder Management

14

 Stakeholder is any person who has an interest (stake) in the solution. 

Stakeholder is the person, or organization
that is actively involved in the project, or
whose interests may be positively or
negatively affected by execution or
completion of the project.

A stakeholder may also exert influence over
the project and its deliverables.”

16 Project Stakeholder Management

Identifying Stakeholder

Project Stakeholder Management Identifying Stakeholder 

Early in the project startup process, you begin
to uncover project stakeholders.

Find out who will contribute to this project, or
who will be affected by it?

Think of an entire business process for
contributors, or the organization’s political
climate for potential impacts.

Work with project sponsor and others close to
the project to identify all potential stakeholders.

Project Stakeholder Management

Identify Stakeholders - PMBOK

Review the Organizational chart

Ask your team members who they believe

carries the most weight on decision making

for the project

Look for the un-official people of influence

 Most knowledgeable members of the team  (^) Institutional knowledge (longest tenure)  (^) Most diligent workers (hardest)  (^) Informal leaders 19
