Acknowledgment This case study comes with the help of management of Centre for the Holy Quran from start to end. I would like to thank the staff who coordinated with me on the project providing me necessary information regarding college and their workflow. Also, a very special thanks to Mr. Ahmed Nashid for giving me the perfect guidance while doing the case studies. This has given me opportunity to do an extensive case study not only as a developer.

Client Profile Centre for the Holy Quran was opened by the President of Maldives on 22nd December 2000. The Centre is entrusted with the task of educating the population of this nation with Quranic knowledge and sciences. Currently more than 3500 students are studying in the Centre and its affiliated Centre’s. The Centre is under the auspices of the Ministry of Islamic Affairs.

About the Project The Project is a Student Management System (SMS), which is custom developed to manage the student information’s in Centre for the Holy Quran. Existing System Centre for the Holy Quran uses multiple files of Microsoft Excel sheets to store data. All the files are stored in a single share point where data is vulnerable for a ransom-ware attack. All the files are stored in a fileserver which is accessible by all the staffs. Disadvantage of the existing system  Creating numerous spreadsheets containing similar data.  The data in spreadsheet are unreliable because it lacks validation and it is vulnerable for virus attack.  Limited User access  Duplicate records entering to the spreadsheets.  Hard Drive is overrun with spreadsheet files.  Susceptible to trivial human errors The problems in the existing system in a nutshell  Outdated information rendering  Slow processing data and Reports  Duplicate Records.  Excel file can be edited by only one-person at a time.

Y axis is currency in MVR and X axis is No of years Operational Feasibility The new system will be developed in consultation with the Centre for the Holy Quran. Also, it will take a shorter period for the management and staff to become accustomed with the application as training and evaluations will be conducted to help the staff overcome the integration process with the new system. The new system will help the staffs to carry out daily operational tasks at a shorter period. Therefore, operational feasibility can be achieved with the satisfaction of the management. Schedule Feasibility (where you include the timeline which you included in the system proposal and then talk about the number of days spent for each phase and justify that the project can be completed within the given period. Also, that it will be feasible in all the aspects during that time period).

Facts Finding The inquires of the staff using application manage student information, Centre for the Holy Quran uses, spreadsheet files to manage student records. Given a suitable approach to development, such as student management system, custom software will also produce the best or most well-targeted service improvement. institute can tailor the software to what their customers want instead of having to choose a package that caters for a generic market. a spreadsheet allows less technical staff at a business to modify the software directly and get results faster. Custom software can be even more flexible than spreadsheets. Current Difficulties staff experience with Data Managing using Microsoft Excel Shared Workbooks When Excel systems grow organically, only one user can open a workbook at any one time. The second person to try to open the file is told it’s already open and that they can cancel, wait or view a read-only version. Security Issues You can add security to Excel workbooks, but it’s rife with problems. Protection is geared much more towards protecting the structure of the workbook, rather than the data. You can try to lock some sheets and cells to stop users changing the structure and formulae, but if they can see the data then they can usually change any or all of it (unless you do some clever macro programming). Data Validation Errors can creep into data in any computer system: people mistype words or transpose digits in numbers with monotonous regularity. If your data isn’t checked as it’s entered, you’re going to have a problem. Long Formulas If each tab in an Excel spreadsheet holds one project, you can easily end up with huge files containing more than 50 tabs. Sum totals are impressive, mile-long formulas – which all too often create problems as even the smallest mistakes are repeated in the spreadsheet. Not-standardized No matter how the template is set up, one single standardized template to ensure complete consistency throughout the spreadsheets is utopian. People are not machines, which is why spreadsheets can take highly diverse forms depending on the employee’s experience, skills and problem-solving abilities.

New System The diagram represents all the entities of the system. This diagram will show which entity is related to the major modules within the system. Thus, the system is fully integrated with the access control system which allows to view and process information based on their access roles. This allows to create a hierarchical structure of how the information flows within the system as well as in the organization, thus allowing more security for data protection.
