Role purpose
The role has been created to manage our response to data protection legislation and in particular the
new General Data Protection Regulation (GDPR) that will come into force in May 2018. It is a cross
organisational role that involves ensuring that we have an appropriate response to the new legislation
along with changes to the Fundraising Code. It is expected to keep up to date on emerging issues and
regulation more generally and play a strategic role on behalf of Christian Aid in ensuring we meet
regulatory requirements without inadvertently damaging our fundraising potential. As such it will have
regular interfaces with key stakeholders such as Information Commissioner’s Office, Institute of
Fundraising and our sector more widely. It will ensure that staff and relevant 3rd parties have
appropriate training in data protection issues, that appropriate IT security measures are in place to
manage personal data and that subject access requests are actioned appropriately. It will regularly audit
our systems and procedures to ensure data protection compliance. It will ensure that appropriate Data
Protection policies and procedures are in place across our full geography.
It will perform the role of Data Protection Officer for Christian Aid and will ensure that the Directors and
the Board and appropriate sub committees are kept up to date with emerging issues and Christian Aid’s
response. It will be an active participant in the Data Protection Working Group and will support the chair
of that group in developing the agenda and related papers for that meeting. It will ensure that planned
changes to systems and procedures adequately respond to data protection and wider regulatory
requirements. As such it will have a key role in advising the CRM project board on data protection and
related requirements.
Key outcomes
Christian Aid is well represented in the sector and with the regulators to ensure that we have a
appropriate response to the legislation
Christian Aid staff receive role based training on Data Protection and understand the
requirements and how they should respond
Compliance measures are in place and are audited to demonstrate compliance with regulation.
Issues emerging from the application of our policies and procedures are followed up and
actioned
3rd parties processing Christian Aid data on our behalf have appropriate Data Protection policies
and procedures in place
The number and scale of near misses and compliance failings show an improving trend or
where they do occur, learning is widely adopted
Christian Aid has appropriate opt in statements that are clear and enable supporters to ensure
that they make the choice they intend to make

To sustain this system, managers may/will agree further details of specific tasks and duties as part of the performance agreement. Any reasonable duty may be assigned that is consistent with the nature of the job and its level of responsibility, and employees may be required to change the focus of their role from time to time. Role context The role will report to the Head of Internal Audit and Risk Management in the Finance and Operations department. It will not have direct reports but will be required to manage our corporate global response to Data Protection and related regulation across Christian Aid and with other stakeholders such as suppliers and volunteers. This will require building a network of key contacts both inside and outside of Christian Aid. The role will be expected to support teams across the organisation and in particular those with a supporter facing/ fundraising role. The role will be matrix managed by the Head of Supporter Engagement. Role requirements Relationships External Regulators, international NGO sector Internal Relationships across the organisation including national offices. It will have the ability to interface at all levels and will have appropriate influencing skills to ensure that the necessary compliance measures are in place Decision making Budgetary/savings responsibility The post holder will be the focal point for the implementation of Data Protection and related regulatory compliance. S/he will ensure that Christian Aid adopts appropriate processes to comply with the new fundraising code that are clear to supporters. S/he will investigate issues coming out of the application of our policies and will recommend appropriate courses of action to the relevant responsible Directors/ senior managers. S/he will make appropriate reports to the Directors, Audit and Risk Committee/ Finance and Investment Committee and board on the application of our policies. Analytical skills
