Writing a letter

  • Introduction
  • Body
  • Conclusion
  • Formal/informal
  • The salutation directly addresses the person you're sending the letter to. It's always used in formal letters, but sometimes skipped in informal messages.
  • Here are some examples of formal and informal salutations:
  • If you're sending the email to a group, **address the entire group:
  • Dear Students** ,
  • If you've got the person's name you want to send the email too, it's proper to use their name along with any title the person has: - Dear Professor Smith ,
  • Here's an example of a formal salutation without a name: - Dear Human Resources Director ,
  • where you don't know a person's name or title, it's okay to use this salutation:

Letter of complaint

  • Dear Mr Green,
  • I am writing to complain about the service I have received from your company.
  • Last month I visited Cornwall with my family and booked one of your two-bedroom apartments. When we arrived at six o’clock in the evening on 17th May our apartment was not ready and we had to wait in the car for an hour.
  • When we entered our apartment, we found that there was only one bedroom. The children had to sleep on the floor.
  • The next morning I went to reception to complain. The receptionist was very rude and informed us that there were no two-bedroom apartments free. We left our apartment and booked in a nearby hotel.
  • I am very dissatisfied with your service and I would like a full refund.
  • I look forward to hearing from you soon,
  • Yours Sincerely,
  • Anna Jameson
  • Hi Linda,
  • How's it going?
  • Sorry I haven't been in touch for such a long time but I've had exams so I've been studying every free minute. Anyway, I'd loveto hear all your news and I'm hoping we can get together soon to catch up. We just moved to a bigger flat so maybe you can come and visit one weekend?
  • How's the new job?
  • Looking forward to hearing from you!
  • Helga
  • Hi Helga,
  • I've been meaning to write to you for ages now so don't worry! How did your exams go? When will you know your results? I'msure you did brilliantly as always!
  • As for me, I'll have been in the new job three months by the end of next week so I'm feeling more settled in. At first I felt like Ihad no idea what I was doing but now I realise it's normal to feel like that. There was a lot to learn – there still is actually – and I soon had to get used to the idea that I can't know everything. I used to work late a lot and at weekends but I'm slowly gettinginto a normal routine.
  • Which means I'd love to come and visit! We really need a good catch up! I can't believe we haven't seen each other since Carl'swedding. How does next month sound?
  • Anyway, I'd better get back to work.
  • Congratulations on the new flat! Can't wait to see you!
  • Love,
  • Linda
