INTRODUCTION The National University of Lesotho library currently lacks a system for tracking and managing assets, including laptops and other valuable items. This has led to issues such as theft and loss of assets as well, as well as a lack of transparency and accountability. In order to address these issues and improve the tracking and management of assets within the library, the University has decided to develop a new system using QR- coding. This system will allow for quick and efficient registration and authentication of assets, while also being able to track and manage other assets within the Organization. A QR code is a type of barcode that can be scanned with a smartphone or other device to quickly access information or a website. QR codes are made up of a grid of black and white squares, and use standardized encoding methods to store data efficiently. They are often used for product tracking, identification, time tracking, document management, and marketing. QR codes can be read by an imaging device, such as a camera, and the data is extracted from the horizontal and vertical patterns in the image. Upon initial registration of a student, a QR code will be generated of which will represent their student data. This Code will then be pasted on their laptops as means of associating the laptop with its respective student. The Code will then be scanned upon entry and exit of the library

Aim(s): ๏ƒ˜ The initial aim of the system is to facilitate a digital and more efficient method of tracking laptops carried by students in and out of the library with further development being made to mitigate inefficiencies with the current asset tracking and management system at the Thomas Mofolo Library and other departments of the National University of Lesotho. ๏ƒ˜ The system will use QR-coding technology to quickly and accurately register and track students' laptops as they enter and exit the library. This will address the issues of time- consuming manual processes, resource allocation, and potential for human error in the current system. ๏ƒ˜ Overall, the goal of this project is to develop a system that can be used to quickly and accurately track and manage assets at the National University of Lesotho library, using QR-coding technology to streamline the process and reduce the potential for human error. System Features: The ability to quickly and accurately register laptops using QR-coding technology.

-This will involve generating unique QR codes for each laptop, and scanning the codes at the time of entry and exit to register the laptop and its owner in the system. The ability to match the recorded entry and exit data to authenticate the respective owner of the asset.

  • This will involve comparing the scanned QR code at the time of exit to the recorded entry data to confirm that the holder of the asset is indeed the respective owner. The ability to extend the system to track and manage other assets in the organization. -This will involve the ability to generate and scan QR codes for a variety of assets, and to maintain a database of these assets and their owners for tracking and management purposes. Functional & Non- Functional Requirements Functional Requirements ๏ƒ˜ The system should generate QR codes for each asset that needs to be tracked and managed. ๏ƒ˜ The system should allow users to scan the QR codes using a camera on their device. ๏ƒ˜ The system should be able to check if the QR code scanned is in the database and authenticate ownership.

A QR code system for asset tracking and management will work as follows: ๏ƒ˜ The user (e.g., a student) logs into the interface using their student ID. ๏ƒ˜ The user selects the option to generate a QR code for an asset. ๏ƒ˜ The system prompts the user to enter details about the asset, such as its name, description, and location. ๏ƒ˜ The system generates a QR code that encodes this information. ๏ƒ˜ The user prints out the QR code and attaches it to the asset. ๏ƒ˜ To track the asset, another user can scan the QR code using a device with a QR code reader (such as a smartphone). ๏ƒ˜ The QR code reader decodes the QR code and retrieves the asset's information from the system.

๏ƒ˜ The system updates the asset's location and any other relevant details in its database. This process allows for easy tracking and management of assets by storing and updating information about them in a centralized system using QR codes. SYSTEM DESIGN ๏ƒ˜ The admin logs into the dashboard using their credentials, which are verified by the authentication service. ๏ƒ˜ The admin can view and manage the assets in the system using the dashboard. ๏ƒ˜ The dashboard communicates with the server to retrieve and update information about the assets from the database server.

Relationships in the class diagram Evaluation & Conclusion: ๏ƒ˜ Improved efficiency: The system is be able to significantly improve the efficiency of tracking and managing assets within the library, reducing the time and resources required

to manually register and track assets using a pen and paper system. ๏ƒ˜ Reduced risk of loss or theft: The system is also able to reduce the risk of loss or theft of assets by accurately authenticating the ownership of assets at the time of exit. ๏ƒ˜ Improved accuracy of asset records: The system has improved the accuracy of asset records, as it will allow for the tracking and management of assets in real-time, rather than relying on manual records which can be prone to errors. ๏ƒ˜ Cost-effectiveness: The system is cost-effective in the long run, as it will reduce the need for resources such as paper and ink, and potentially reduce the need for staff to manually register and track assets. ๏ƒ˜ Overall, the system is successful in meeting the required standards, it is able to significantly improve the efficiency, accuracy, and cost-effectiveness of asset tracking and management within the library.
