CHAPTER I

PROJECT AND ITS BACKGROUND

PROJECT CONTEXT

The library at (NAME OF SCHOOL) is a vital source of knowledge for students across various education levels, from preschool to college. However, the library currently uses a manual system for recording transactions, tracking fines, and managing resources, which can be time-consuming and challenging for the librarian and students alike. For instance, book searching can be quite difficult for students, especially when the book is already borrowed or no longer available, leading to potential wasted time and disappointment. To address these challenges, we, the researchers, have made the decision to propose a library system that will help the librarian manage the library more efficiently. This system will supply an efficient and user-friendly experience for the librarian and staff, enabling them to focus more on supplying better services to students, such as helping them in finding the books they need, guiding them in conducting research and organizing events, and activities that promote reading and learning. With a library system, the librarian will be able to record, monitor, and check books in the library with ease. Transactions, such as borrowing and returning books, will be recorded with ease, reducing the need for manual data entry and the potential for errors. The system will also track fines for late book returns and issue alerts to the librarian when the student is about to exceed the due date, making it easier for the librarian to notify the students to return the books on time and avoid penalties. Furthermore, the system will streamline the management of the (NAME OF SCHOOL) library, facilitating efficient tracking and recording of books, managing borrower information, monitoring book borrowing and returns, managing book information, recording and tracking student fines, and generating essential reports. The system aims to enhance the overall effectiveness, functionality, and acceptability 1

of the library operations, providing a seamless and user-friendly experience for both librarians and students. Moreover, the system will provide real-time information about the availability of books, reducing the chances of students wasting time looking for a book that is not available. This will enhance the overall experience of students at (NAME OF SCHOOL) , enabling them to access the books they need quickly and efficiently. In summary, a library system will provide a more efficient and user-friendly experience for the librarian, staff, and students. It will help the librarian manage library resources more effectively, allowing them to focus on providing better services to students. It will also make it easier for students to find the books they need, thereby enhancing their overall learning experience. As such, the implementation of an library system is an essential step toward creating a more efficient and effective learning environment for all students. 2

GENERAL OBJECTIVES

The (NAME OF SCHOOL) Library System aims to record every transaction in the library more efficiently and to prevent issues like loss of file records from happening. It also aims to eliminate the manual processes of monitoring and recording the transactions that happen in the library. The (NAME OF SCHOOL) Library System also intends to provide an easy- to-use interface that allows librarians to easily record the transactions that happen in the library. Moreover, the system aims to maintain accurate data and generate reports that can be used to assess the library's performance, identify areas for improvement, and support decision-making processes. By achieving these objectives, the library system can help provide a more comprehensive and effective learning environment for its students. 4

This project aims to meet the following objectives:  To provide a module that will store borrower information.  To monitor the books being borrowed and returned.  To manage book information.  To develop a system that will record the student fines.  To generate the following reports: a) Master list of Member b) List of Books c) Collection Report (Weekly and Monthly) d) Summary Report  To evaluate the following: a) The effectiveness of the system in tracking and recording books in the library. b) The functionality of the module for storing borrower information. c) The effectiveness of monitoring book borrowing and returns. d) The functionality of the system in managing book information. e) The acceptability of the system in recording, managing, and tracking student fines. 5

SIGNIFICANCE OF THE STUDY

The system will provide a solution to the difficulties faced by the (NAME OF SCHOOL) library in terms of manual recording processes and inefficient monitoring of transactions. This system will help to improve the library's operations, enhance the librarian's work experience, and provide a better learning environment for the students. Furthermore, this study contributes to the growing field of library management systems, providing insights and best practices for future research and development. Librarian The librarian will easily monitor all the book records and it can also help the librarian monitor the borrower’s violation and penalties. Compared to the current manual process, it will allow the librarian to manage it faster. Additionally, the system will help the librarian save time and effort while checking the list and availability of books. Students The system will assist students in reducing the amount of time spent searching for the specific book they need. It will also perform a quick search and aid them in deciding which book to read. Researchers The researchers now understand how to create and solve problems, and their knowledge and skills in creating a system have managed to improve. Future Researchers Future researchers may improve the current system in this research proposal, taking into consideration the shortcomings and difficulties the librarian or users may experience along the way while using this system, and may produce an improved (NAME OF SCHOOL) Library System. 8

DEFINITION OF TERMS

Administrator - a person whose job involves helping to organize and supervise the way an organization or institution functions. IDE - is a software application that helps programmers develop software code efficiently. It increases developer productivity by combining capabilities such as software editing, building, testing, and packaging in an easy-to-use application. User ID - a number or name unique to a particular user of computerized resources. A user ID must often be entered to access library resources remotely. Database - A database is an organized collection of data stored electronically. It allows for efficient storage, retrieval, and management of large amounts of information. Data is organized into tables with rows and columns, and relationships between tables are established through unique identifiers. Databases provide structured storage, secure access, and the ability to perform complex queries and analysis. They are used in various applications and come in different types, such as relational and NoSQL databases. C# - a programming language developed by Microsoft. It is widely used for building a variety of applications, including desktop software, web applications, and games. C# is part of the .NET framework and offers a modern, object-oriented approach to programming. It is known for its simplicity, type safety, and extensive library support. MySQL (My Structured Query Language) - a popular open-source relational database management system (RDBMS). It is widely used for storing and managing structured data in various applications. MySQL provides a robust and scalable platform for storing and retrieving data efficiently. It supports the SQL (Structured Query Language) standard and offers features like data integrity, ACID compliance, and support for multiple concurrent connections. 10

Front-end - refers to the client-side portion of a web application or website. It involves the design, layout, and functionality that users interact with directly in their web browsers. Front-end technologies typically include HTML (Hypertext Markup Language) for structuring content, CSS (Cascading Style Sheets) for styling and layout, and JavaScript for interactivity and dynamic behavior. Front-end development focuses on creating a visually appealing and user-friendly interface. Back-end - refers to the server-side components of a web application that are responsible for processing requests, managing data, and performing business logic. It involves the server, the database, and the application's logic. Back-end technologies can vary, but commonly include programming languages like C#, Java, or Python, along with frameworks and tools for building server-side applications. Back-end development focuses on handling data storage, processing, and ensuring the application's functionality. 11
