ASSIGNMENT 1 ANSWER

P1: Demonstrate the use of 3 different communication style within your team.

Discuss the purpose of a Software Development with its objectives.

VERBAL COMMUNICATION

1. What is Verbal Communication?

Speaking with clarity, being silent and focused, being well behaved, and following some of the general rules of behavior altogether will help in the process of oral or verbal communication. The verbal part of communication refers to the words that we choose, and how they are heard and interpreted.

In many personal meetings between people, the starting time of conversation is very important because the first impression has an impact on further success and future communication. It is indeed crucial to learn that good oral communication cannot be fully ignored from non-oral communication in the form of our body language, tone of the sound, and expressions of the face. [1]

2. Uses of verbal communication:

For interacting with one person to another one must use any kind of communication to convey the message. Verbal communication is one that kind of communication system. There are many uses of verbal communication. Some of the uses of verbal communication are:

 Understanding of massage is accurate  Saves time  Helps in interviews  Increases degree of formality  Feedback comes quickly [2]

3. Advantages of Verbal communication: - Saves a lot of time. - Saves money too. - Get feedback quickly. - Most convenient method. - Clarity of method. - Ease of preparation [3] 4. Disadvantages of Verbal communication: - Regional differences are the greatest barrier. - Language difference and dialect is also a reason for the communication barrier. - Receivers may quickly forget what was said to them. - All people cannot listen at the same pace. [4]

 NON-VERBAL COMMUNICATION:

1. What is Non-verbal communication?

  • Non-verbal communication is the transfer of information through the use of body language including eye contact, facial expressions, gestures and more. For example, smiling when you meet someone conveys friendliness, acceptance and openness. Everyone uses nonverbal communication all the time whether they know it or not.
  • Non-verbal communication is dependent on seeing and analyzing physical movements as opposed to verbal communication, or the use of language to transfer information through written text, speaking or sign language. [5] 2. Uses of Non-verbal communication:
  • Reinforcement or modification of spoken words : You can nod your head when you give your consent for something to underline that you are in full agreement with the other individual. A wave with a sad look may mean that things aren’t excellent
  • Expressing emotions : Your facial expression, vocal tone, and posture can often tell people exactly how you feel, even if you haven’t spoken a word.
  • Defining relationships : You may have noticed that the body language of sisters, they tend to have a relationship without expressing it through verbal means, which is visible through their nonverbal communication. The comfort or the discomfort, or way of communicating with each other, etc. are the traits that tell others about the relationship between two individuals.
  • Giving Feedbacks about different things: Smiles and expressions tell you that you’re listening and that you’re in agreement with what they’re doing. Movements and hand gestures can mean that you want to talk. Your instant expression can tell people about your likings or disliking, and those who are supposed to make decisions as per the inclinations of their audiences always notice such gestures and postures.
  • Regulation of communication flow : We use a variety of signs to tell people that we’ve finished speaking or that we want to talk. For example, an emphatic nod and a firm lip closure suggest that we have nothing more to say. Contacting the chair of a meeting with your eye and slightly nodding will indicate you want to talk. [6]
  • Not everybody prefers : Everybody does not prefer to communicate through non-verbal communication with others. Sometimes it cannot create an impression upon people or listeners. It is less influential and cannot be used everywhere. It is cannot be used as a public tool for communication.

This kind of communication involves any kind of exchange of information in written form. To put it simply, written language communication is communication by means of written symbols that is communicated by or to or between people or groups. Thus, written communication is the presentation of ideas or essays that make a clear point, supply details supporting that point and demonstrate unity and coherence of thought. [9]

2. Uses of written communication:

  • There is no need to deliver the message in the spur of the moment immediately. It can be edited and revised several times before delivering it
  • They provide the receiver with ample time to read and review the message thoroughly before replying as well.
  • It provides a permanent record of the messages and information exchange. These are easy to track and to study later. [10] 3. Advantages of written communication:
  • Written communication helps in laying down apparent principles, policies and rules for running of an organization.
  • It is a permanent means of communication. Thus, it is useful where record maintenance is required.

  • Effective written communication requires great skills and competencies in language and vocabulary use. Poor writing skills and quality have a negative impact on organization‘s reputation.
  • Written communication is time-consuming as the feedback is not immediate. The encoding and sending of message takes time.
  • Too much paper work and e-mails burden is involved.
  • Written materials may be leaked prematurely or may fall in the wrong hands. [12]

SOFTWARE DEVELOPMENT PLAN (SDP):

1. Software Development Plan (SDP):

The Software Development Plan (SDP) describes a developer’s plans for conducting a software development effort. The SDP provides the acquirer insight and a tool for monitoring the processes to be followed for software development. It also details methods to be used and the approach to be followed for each activity, organization, and resource.

2. Purpose of SDP:

The purpose of the SDP is to communicate to team members and stakeholders the approach to be taken when developing software on a program and how a Program Manager will utilize direct resources.

3. Objectives of SDP:

The goal of any SDP is to provide a framework where team members on a software project have a clear understanding of the software they are developing and the problems they are trying to solve. [13]

3.2. Organization:

Staying organized can help you maintain a clear picture of what you need to complete and when. Being well-organized might mean maintaining an up-to-date calendar, being able to locate certain documents easily, having a tidy environment and taking detailed, diligent notes.

3.3. Prioritization:

Assessing each of your responsibilities for priority is key in being a good time manager. There are many ways to prioritize what you need to accomplish. You might decide to complete fast, simple items followed by longer, more involved ones. Alternatively, you might prioritize your tasks starting with the most time-sensitive, or a combination of both.

3.4. Goal setting:

The classic goal-setting definition boils down to the process of identifying something you want to accomplish and establishing measurable objectives and timeframes to help you achieve it. Goal setting can help you in any area of your life, from achieving financial freedom to adopting a healthy diet. When you learn how to set goals in one area of your life, it becomes easier to set them in other areas.

3.5. Delegation:

Being a good time manager means only completing work that will help you and your company accomplish goals. While this skill is most often done by managers, you can also practice delegating tasks if you are managing a project. While it can often be difficult to say “no” when someone asks you to do something at work, it is important to practice having boundaries to manage your time well and ultimately accomplish your goals.

+) Effective Management: Delegation provides a breathing space to managers by sharing their workload. As a result, managers can concentrate on tasks with higher priority. Further, freedom from routine work allows for exploration of new ideas

+) Employee Development: With the help of delegation, we assign new responsibilities to employees. This allows for them to work on a domain which is different from the monotonous routine work, helping them to develop new skills and discover hidden talents. Thus, delegation leads to the development of employees by providing them to expand their area of operation and helping them to grow. Effectively, it increases their future prospects and breeds future managers

+) Motivation of Employees: Through the process of delegation, superiors entrust suitable subordinates with the tasks that are assigned to them. This not only leads to the development of talent but also has various psychological benefits. This is because, the

faith and trust displayed in the subordinate build his confidence and self-esteem, which ultimately drives him to work harder

+) Facilitation of Growth: As mentioned, delegation provides employees with opportunities to develop and effectively trains them as better decision makers and managers. This further aids in the process of expansion of an organisation, as it already has the suitable workforce which is competent enough

3.6. Communication:

Developing strong communication skills can allow you to make your plans and goals clear to people you work with. It also allows you to delegate, which lets you focus on completing the most important, relevant tasks that align with your goals.

4. Scenario:

  • Project : Open the online selling clothes apps and website
  • Planning: +) Goals: 11 months +) Requirements: 1 month
  • Meet the clients
  • Importing clothes to the store
  • Check the number of clothes imported.
  • Do advertising +) Design: 2 months
  • Home screen layout and shop’s name
  • Main page and menu for shopping
  • Check box for order and waiting list
  • Notification when you have purchase successfully +) Develop: 4 months
  • Database
  • Interface
  • Statistics +) Testing: 4 months
  • Check if there any errors or bugs
  • Review
  • Try to be a customers and order to check if there any problems

2.2. Create possible solutions: You know what the problem is, and you might even know the why of it, but then what? Your next step is the come up with some solutions.

Most of the time, the first solution you come up with won’t be the right one. Don’t fall victim to knee-jerk reactions; try some of the following methods to give you solution options.

o Brainstorming

o Creativity

o Prediction

o Forecasting

o Decision-making

o Topic knowledge/understanding

2.3. Evaluation of solution options: Now that you have a lot of solution options, it’s time to weed through them and start casting some aside. There might be some ridiculous ones, bad ones, and ones you know could never be implemented. Throw them away and focus on the potentially winning ideas.

This step is probably the one where a true, natural problem solver will shine. They intuitively can put together mental scenarios and try out solutions to see their plusses and minuses. If you’re still working on your skill set — try listing the pros and cons on a sheet of paper.

o Data analysis

o Creativity

o Decision-making

o Prioritizing

o Prediction

o Forecasting

o Evaluating and weighing

2.4. Solution implementation: This is your “take action” step. Once you’ve decided which way to go, it’s time to head down that path and see if you were right. This step takes a lot of people and management skills to make it work for you.

o Communication

o Teambuilding

o Troubleshooting

o Leadership

o Believability

o Trustworthiness

o Project management

2.5. Evaluation of the solution: Was it a good solution? Did your plan work or did it fail miserably? Sometimes the evaluation step takes a lot of work and review to accurately determine effectiveness. The following skills might be essential for a thorough evaluation.

o Active listening

o Data analysis

o Research

o Communication

o Decision-making

o Customer service

o Feedback responses

o Troubleshooting

o Flexibility

3. Scenario:

  • Project: Develop an app and website selling clothes online - Problems:
  1. Failed to connect to main page
  2. Users can't find app

P4. Demonstrate that critical reasoning has been applied to a given solution.

1. Definition of critical reasoning: - Definition:

Critical reasoning refer to the ability to think clearly and rationally, understand the connection between ideas. Critical reasoning required candidates to use their ability with purpose to find the reason behind everything. It all about being an active learner rather than passive. A good critical reasoner will allways ask question rather than accepting them as it is. They seek to determine whether the ideas, arguments, finding represent the entire picture of any given statement or not

2. Importance of critical reasoning:

Critical reasoning is universal: The ability to reason critically is a domain-general thinking skill. What exactly does this imply? Critical reasoning also means knowing how to break down texts, and in turn, improve our ability to comprehend.  Promotes creativity: By practicing critical reasoning, we are allowing ourselves not only to solve problems, but also come up with new and creative ideas to do so. Critical reasoning allows us to analyze these ideas and adjust them accordingly.  Important for seft-reflection: Without critical reasoning, how can we really live a meaningful life? We need this skill to self-reflect and justify our ways of life and opinions. Critical reasoning provides us with the tools to evaluate ourselves in the way that we need to.

3. Scenario:

To schedule a training event, i applied critical reasoning to complete task at hand.

  • Problem: Assist the training and development manager in planning and executing a career development event aimed at internal employees in the organization.
  • Solution: We held a meeting at a coffee shop and each members will be ask to given several ideas about the event. Then we sum up and choose the most suitable solution.
  • Implement the solution: We start to implement the event The event include presentaion on first day, workshop on the second day, coaching session on the third day and the teambuilding on the last day Team leader incharge the presentation and the closed of the event
