7 | P a g e Contingencies Plan Contingencies plan is a type of plan known as a backed-up plan. In some case, our plan could not be successful so we must be well prepared for the incompletion of task. So, analysing our event we have prepared the possible hurdles for our plan and made contingency plan. 8 | P a g e Wednesday (4/28/2021) Be well prepared for best network connection and lectures If network failure then seeks for the help with college’s internet and prepare lectures according to important topics for student. While implementing the plans, we cannot be totally sure of being completion. So, we must create some backed up plans which can be performed effectively. Firstly, looking forward to our plan we might face problem in selection of date and time because the school management or students might not be comfortable with the time as per our plan. So, we must postpone our event time according to the appropriate time for students and school. Secondly, a major problem is about subject matter or information to be shared with the listeners. We made a plan on lecturing about networking and need of servers. So, if our subject matter is not found to be interesting to the students then we must be surveying the subject interesting and important to them. After surveying, we must be preparing the appropriate topics and lectures for students. This task can be done easily by visiting the school and students personally. Also, during a lecture internet or connection might be lost so we must talk to the school management and be well prepared for connection problem. Justification of time allocation Above we have shown the time allocation of our day to day activities before conducting the event. Our first step of planning was started from Sunday (April 25). In this day, our team was formed and finalized for event organizing project. Monday (April 26): The day after formation and finalization of team, there was a meeting for event program between we team members designed the package to be included in our project, we assigned the individual roles to each other according to the evaluation and discussed about the probability of audiences and our budget for organizing event. Tuesday (April 27): Then we send the proposal letter to the school authority of Orient H.S.S. After proposal, our team visited the school and describe the main motive and importance of our program to student. We were able to get permission for conducting our event in school premises with the help of our negotiation skill. Also, selection of date and time was discussed among our team and the authority also accepted our time of program. Wednesday (April 28): In this day, we again visited the school for investigating whether our program is the favourable one for students or not. Then after finding the students interest in our topics, we then evaluated if any change in subject is needed or not. Then, according to our agreement school management and our team prepared the required network and electric connection for the event. Thursday (April 29): This day was the day for self-practicing and self-confidence building day for our members. We researched for our subject matter, and prepare the slide. We individually practiced for our assigned roles and contents in program. Friday (April 30): This day was also the self-practicing day for our team members. Saturday (March 1): During this day, we build the setup for organizing program. This day we also checked for the required resources and find some lack in resources. Then we worked

After a critical thinking and evaluating we were able to make a plan which is very favourable and easy going plan. 11 | P a g e As, an event speaker and manager I was prepared about the lectures and the topics to be shared between the students. Also, by the responsibility of manager I tend to talk to the management board of school and prepare the proper seat plans and equipment required for program. Being resource collector, Arpan collected the needed resources like; surveying the students demanded topics and the contents for tutoring as well as managing sufficient computers with a great back up. Lastly, Kiran was well prepared for tutoring the practical or workshop session. His task was to give the practical information or demonstration on the related course and teach the audience. Here, according to the planning I was assigned as an event speaker and the content describer. My role was to describe the students about the topics in an understandable way. And I will be doing the very best for my given task. Also, my workmates are looking very excited towards the event and I hope them to do the best. Feedback After the completion of program and discussion, we will be giving feedback form to the listeners for the overview of our program. Therefore, feedback is the best process for us to learn more from the mistakes in upcoming days and improve more. Also, we can evaluate or check whether we organized effective program or not by the given form. So, we planned of providing feedback form to the listeners and evaluate the overall performance and improvements need in upcoming carer days. 13 | P a g e Therefore, students as well as we organizer were able to see the importance of working in team, steps for forming the best team. Also, we get team dynamics certainly would lead to the failure or successful operation of task or job. 14 | P a g e Speaker: It is defined that the team dynamics are unconscious. Team dynamics are created by the nature of team’s work, the personalities between the team, and their working relation with other people and the environment in which the team works. Slide 3 Speaker: Each and every team dynamic started with Forming, Storming, Norming, Performing and adjourning. These are the five different stages of team dynamics. Slide 4
16 | P a g e Speaker: After having a discussion everyone in a group, interested were given time to share their plans and thoughts and at the same time they were listening to other also. Team performance increases during the stage as members learn to co-operate and begin to focus on team goals. 17 | P a g e Speaker: Recognition of member’s contributions is also important in a team. And after the completion of work team members should move on to pursue another goal. Slide 9 Speaker: From the workshop, we found team dynamics is good if the team focuses on achieving assigned task and same intention to achieve goal. It makes team members committed to workplace. Team should in build trust, understand, openness in communication for getting the positive result. Conclusion During our event we presented the short information of team dynamics and forming of great team. In our event we prepared the two-hour workshop that practically teaches about team
19 | P a g e For completing any sorts of job or task in a group, the main key is to maintain good relationship with each other. Therefore, even in a short period of time we were able to be friendlier and built more trust with each other. Also, we helped each other in any sort of problem, shared our data or information which made our bond very good and helped for operating our event. We also maintain the good relationship with the students which make us easier and comfortable to communicate with them. Receptiveness to feedback Feedback is the best process for us to learn more from the mistakes in upcoming days and improve more. Our team was really positive for the feedback too. Also, during our training session we provided the feedback form in both days. After getting the feedback from students in first day we analyse the required changes and gave our very well for second day. Still, we members are really positive for the feedback because of implementing this skill it helped us to conduct our event without failure. Negotiation and positive attitude While planning an event, there was a certain disagreement in date for students but this problem was solved by convincing students positively. Implementing this skill our team was successful to negotiate with the management of school. Also following the positive attitude, we team members had a great coordination and negotiate for the good ideas. Collaboration This step helps us work as a group and work was done in a small amount of time. This helped us to deliver the positive outcomes and reach our goal. Working collaboratively means to work in team. Flexibility, active listening, effective communication are the key factors for working in group. Me and my workmates followed those skills with helpful hands and were able to complete our goal. Use of initiative Using initiative means using the backed-up plan /contingencies plan when the plan is tended to be incomplete or failed. While planning we encountered the out coming problems to be faced and we were all set for the using the backed-up plan. This also helped us be more confident in completing our event. Roles of group members Team roles is associated with behavioural and interpersonal strength. R. Meredith Belbin had identified nine team roles and had categorized them into three groups (Team, 2016). This informs us know about the effectiveness of team dynamics helps in achieving the goal. Action oriented roles The action-oriented roles include the shaper, implementer and finisher roles. Being concerned and ready of contingencies plan I was able to get attention of students. Using some expressive, exciting words I was also able to provide demanded in an understandable way to students. My soft skills and communications skills helped me for being more openness and sharing information effectively. People oriented roles
20 | P a g e For this action all the credit goes to Mr. Arpan Shrestha, during our planning of program he conducted the survey within students and gathered the demanded topics. Also, he helped in some connectivity equipment's required in an event. He also developed mutual understanding of audience and collected the needed resources for smooth event completion. Thought oriented roles Task assigned as trainer; Mr. Kiran Karki seemed very committed towards his role. He monitored the task given to students and helped them in any sorts of problem. He also listened to produced ideas and thoughts of student and clarify them with the solution. All of our members performed their roles in convenient way. We achieved our major objectives and goals by helping, encouraging and collaborating with each other in a team. Evaluating self-performance and contribution in a team For our event we had divided our work, roles and responsibility among the team members to complete the task efficiently. I was assigned as an event speaker and manager for the team. My main responsibility was to enlighten the need of team dynamics as well as network and configuring the server. During the planning of event, I researched and collected the data which I should be tutoring. Although, I was friendlier and well known to team dynamics but really nervous at first because of low confidence. My team helped me build up my confidence level. After practicing my contents and I was able to be more confident and was able to develop my interpersonal skill. Besides, speaker I was also given a job to manage the event. Then I used my negotiation and relationship management skills and convince the school authorities for providing the required materials like; speaker, laptops or computers to the students, internet facility etc. for event. The school management were well satisfied by our project and provided us the best seminar rooms. After student’s survey, there were only less students around 20 due to which there was not any problems in sharing the computers. Practical session was done very well because of having enough resources. Each and every student participated in that event were provided separate computer which enabled every student to take participate in a training. Other remaining required resources like certificate, feedback form, screen capture of slides etc. were prepared and managed by Arpan Shrestha. Thanks to him for providing and helping me and making my work very easier. Also, my mate Kiran Kari monitored students practically and my shared resources were clearer and effective to students. In the event we also managed to put on camera for clicking video and look our performance our self and evaluate the weakness. Therefore, during the event I gave out my best knowledge and understanding resources to listeners. I saw all of them being attentive towards me and my sayings. After seeing the recorded video of my tutoring students, I was really happy of myself and happy for giving my best. I saw my body language was also making me as a professional speaker. Our project was also conducted easily within a given budget. Looking into event, feedback from students were really good and very positive. Bringing up my contingences plan was a very good preparation of our event. Analysing the areas of improvement Although, being happy of myself I realized that I can be more communicative and interactive with others. I should be more self-confident with the knowledge I have. And I am very sure
