Selecting Tech Tools: We estimated around 6 days for this. We did it simultaneous with

developing branding and confirming speakers and sponsors. The major point is we needed to

confirm on the early stage that sponsors will sponsors us, and the event can run. We made out a

list of technical tools we require and kept it on hold for several days while talking to company

itself and after sponsors were confirmed we could move forward. Those tech tools were:

Computers, pen, copy, speakers set up etc.

Marketing

We estimated total of 4 days.

Publicity plan and social media: Near the confirming of sponsoes we decided, my team will

make a pair and have a talk with different college head to let us have short presentation regarding

this event. We targeted class 12 students because after they graduadte inetersting person can

have a head start on coding and team bulding is the must is must in every stage of life. And

regarding social media, my friend who is Subhasish, who is great with technical stuff did all the

working after all the branding part was done it took us few days to come up advertisimnet in

varuoius social media to attract people.

SUM UP

Day of process: We gave it 2 days peroid. We though before we could go on to bigger picture

which was the event itself, it would be better to do a demo of it, just so everyone can be

confidence. Which was helpful in the main event.

Day of event: Before the event day we gave evenyone a day off, because everyone was working

hard and they needed to be at ease before the big thing. The the 2 day event went as planned

although there were many problems we faced which I will talk in another part. At the end of the

day it was our win.

Post-event review: Before all the members could disband we took the final day to look up the

feedbacks that participants provided. And we were happy that we have positivie and some

negative and improvement stuffs were alost mentuoned, also we were happy for it because we

can improve in future events.

Below Is The Explanation For The Delivery Of The Event.

You can relate with above Gantt Charts

Introduction

As per plan, we had decided to start off with introduction. This consists of indrocution of our

company, my team members, attendee itself and event. We estimiated an hour for this task. It

wont just be simple Hi, my name is this and that. Initially we will do introdctuion of our

companies and sponors patners which are orient A levels and Hamro patro, which will be formal

and that part cannot be changed as per our wishes, formal part will take around 20 mins. After

this formal introduction and welecome speech from our companies we kick off out event. As to

how we decided to introduce our attendedss, we decided upon a simple game. It is called

‘Mystery box’, each attendee witll be handed out a piece of paper and a pen, they have to write

their name and hobbies and put it into a box which our volunter will supervising. After that

supervisor will move in a line and each attendee have to choose one random paper and read it our

loud, the person has to guess the person and the real person has to confirm it if he chose it right

or not? This game isnt about how correct the attende will be or checking their guessing abilty its

about getting a fresh mood or gettting everyones attention. We plan to do it quick within 25

mins. Finally the remaing 15 mins we plan to give them inrtoduction on Coding, it’s importance

and it’s scope in mordern market.

Dividing Attendess into Two groups:

The task and time allocated might seem liltle bit off but there is a reason for it. we are assuming

all attendee cannot make it on time we are keeping it one hour to wait or back up plan for first

task. We won’t know if the introduction process might take more than 25 mins or formal speech

might take more than what we have assummed. So an hour allocatede for it is justified.

Meawhile we will divide the attendess into 2 groups. One will be group ‘A’ and other ‘B’. this

will be at random again with mystery box but our team will keep papers with ‘A’ or ‘B’ and they

have to choose and be in their repsective group.

Group ‘A’ will proceed to Break room with Computers:

Follow up from previous group dividing process, group ‘A’ will procees to one of the break

room with Computers. It can accomodte 20 at a time so we are estimitaing 18 at max for

efficieny. Our trainee will proceed to take active role in this hour and try to teach through

practically. Initially they will be exposed to computers, we have planned to give them tutorial on

coding. We discussed in teams and decided on C language. C language is basic of programming

and coding it will help develop attendees root. It will be 2 hours session where they will learn

from displaying their name to sum,add muntiply make effiecint use of loop, if else(Programming

Term). This will motvated them and with our trainee it will be effiecint.
