Loughrea Autos are a Galway based car-hire firm with a Head Office in Loughrea and three other branches throughout County Galway. Their car hire process works as follows. Customers phone, or call into a branch, to request prices and details of the types of car available. For each customer request the sales clerk checks the car file for availability and provides the customers with information on cars that meet their requirements. If the customer wishes to book a car, they indicate their preferred model of car and the dates for which the car is required. The sales clerk then checks the hires file to determine if the selected car is available for the dates required. If the car is not available the request is refused. If the car is available for hire the sales clerk sends the booking details to the bookings clerk. The bookings clerk takes the customer details and checks the customer file to determine if this customer is an existing customer. If they are then s/he checks that the details currently on file are correct, and updates them if necessary. New customer details are added to the customer file. The hires file is updated with details of the booking and the details are sent to the payments clerk. The payments clerk issues the booking form to the customer along with an invoice. Payments from the customer are received and a receipt for the payment issued. All money received is transferred to the bank. In addition, new cars are purchased by Head Office twice a year. Each new car is assigned to one of the branches. Details of all the new cars are provided to the sales clerk in the form of a purchase order. The sales clerk updates both the car file and the hires file with details of these new cars.
