1.3 How to improve my communication skills

Figure 2: Improve my communication skills

Improving your communication skills can take time and effort, but it can be a valuable investment in your personal and professional life. Here are some tips to help you improve your communication skills:

 Practice active listening: When someone is speaking to you, give them your full attention and avoid interrupting. Ask questions to clarify what they're saying and reflect back what you've heard to make sure you understand.  Pay attention to body language: Nonverbal cues such as eye contact, facial expressions, and posture can convey a lot of meaning. Make sure your body language is sending the message you intend.  Speak clearly and concisely: Avoid rambling or using vague language. Be clear and concise in your speech, and tailor your language to your audience.  Use appropriate tone and volume: The tone and volume of your voice can affect how your message is received. Use an appropriate tone and volume for the situation and the people you're communicating with.  Practice writing: Writing is a great way to improve your communication skills. Practice writing emails, reports, or even social media posts to help you become a more effective communicator in written form.  Seek feedback: Ask for feedback from people you trust, such as colleagues or friends. Ask them to be honest with you and provide specific suggestions for improvement.  Take courses or workshops: Consider taking a course or workshop on communication skills to learn new techniques and get feedback from professionals.

Group communication : On February 11, 2022, the group began working using offline and online forms on the Messenger platform (Facebook), as well as private meeting rooms.

Advantages and disadvantages of each mean of communication

Advantages Disadvantages Online  Fast and convenient: Online communication is fast, convenient and accessible from anywhere as long as there is an internet connection.  Low cost: Online communication tools like email, instant messaging, and video conferencing are generally low cost and can be used frequently without incurring significant expenses.  Document sharing: Online communication tools allow for easy sharing of files, documents and other materials.  Global reach: Online communication enables group members to connect with each other from anywhere in the world, which can be especially beneficial for geographically dispersed groups.

 Technical difficulties: Online communication tools can be unreliable at times due to technical difficulties, such as poor internet connectivity or software malfunctions.  Limited social interaction: Online communication lacks the personal and social interactions that occur during face-to-face interactions. This may lead to misunderstandings or a lack of trust between group members.  Overload: Online communication can be overwhelming at times, especially if group members are receiving a high volume of messages, emails, or notifications.  Misinterpretation: The lack of visual cues in online communication can lead to

misinterpretation of messages. Offline ^ Personal touch: Offline communication, such as face- to-face meetings or phone calls, offers a more personal and intimate touch to communication, which can build trust and rapport between group members.  Non-verbal cues: Face-to-face communication allows for non- verbal cues, such as body language and tone of voice, to be incorporated into communication, which can enhance understanding and prevent misunderstandings.  Flexibility: Offline communication allows for flexibility in terms of scheduling and location, as it does not require a stable internet connection or specialized technology.  Clarity: Offline communication is often more clear and direct than online communication, as there is less opportunity for misinterpretation.

 Time-consuming: Offline communication can be time-consuming, especially if group members are located in different locations and need to travel to meet in person.  Expensive: Offline communication can be more expensive than online communication, particularly if travel or other expenses are required.  Limited reach: Offline communication can be limited to a specific geographic area, making it difficult to communicate with people outside of that area.  Limited documentation: Offline communication often does not provide a clear documentation of the communication that occurred, making it difficult to review and reference later.

  • Nam: I think the space only needs to hold 200 people in case some people don't show up.
  • Hieu: I understand your point, but if this is an event that everyone is interested in, do you think that option is still appropriate? Our goal is to make the company grow, so it will definitely attract enough people.

During the conversation between Hieu and Nam, Nam used eye contact, repeated words, and body language to express his concern, while Hieu calmly explained for Nam to understand. Finally, we decided to hold the event at the National Convention Center.

II/ DEMONSTRATE THAT YOU HAVE USED EFFECTIVE TIME MANAGEMENT SKILLS IN PLANNING AN EVENT (P2)

1. Definition and the importance of time management skill 1.1 Definition time management skill

Figure 5: Time management skill

Time management involves organizing and coordinating tasks and activities to make the most of an individual's efforts. Its aim is to help people achieve better results in less time. Effective time management involves utilizing techniques such as organization, planning, and scheduling to optimize the use of available time. It also takes into consideration an individual's unique circumstances, capabilities, and traits (Ben. L, 2023).

1.2 The important of time management skill

Effective time management allows individuals to make the most of their time by assigning meaning to it. In a business context, it is used to establish goals and expectations for companies and their employees, with good time management skills enabling employees to produce quality

work and achieve their objectives. Time management is also helpful to managers in setting practical goals for their employees and understanding their capabilities (Ben. L, 2023).

Poor time management, on the other hand, can lead to missed goals, poor quality work, increased stress and anxiety, and a lack of time. Inefficient use of time can be detrimental to employees, managers, and the company as a whole. Time poverty can result from poor or non- existent time management, leaving individuals feeling overwhelmed and unable to balance their personal and professional responsibilities (Ben. L, 2023).

Time management requires individuals to make active decisions about how they use their time, as without it, they are more reactive to external stimuli and may lose control over their work and personal lives. Prioritizing higher-value work over other tasks can improve both productivity and work-life balance. Ultimately, good time management leads to a healthier workplace environment (Ben. L, 2023).
